At least meeting up is fairly easy, you just need to name an organizer, then everyone can simply add them to their friend lists and click "meet up" with that person. Going to be a bit spammy for that person though. Funnily enough, we had similar problems even in social-only areas of AO like the clubs. I remember one party being so big that Reets ended up spawning a second instance and people had to be beacon warped into the actual party zone.
